How your data is handled
A plain-language summary of what the app stores and who can see it.
What's stored
- Your account: username, display name, and a one-way scrambled version of your password (the password itself is never saved).
- Job notes: what you type, the report made from it, hours, crew, customer and job details.
- Job photos, re-saved on upload so GPS location and camera details are removed. The time a photo was taken is kept.
- Messages on notes, and support tickets with any screenshots you add.
- If you ask for early access: your name, email, company and what you tell us.
Who can see it
- Members see their own notes, notes that list them on a crew, and their organization's approved notes.
- If an organization turns on job-day comparison, a crew lead can see every note on a job number for a day they led.
- Org admins see every note in their organization.
- The people who run the service manage organizations and accounts. Their admin console never shows notes, photos or note messages. They can reset the password of an org admin who's locked out (never a member's: members are reset by their own org admin); each reset is recorded in that organization's activity log, and the person must choose a new password the next time they sign in.
- Support tickets hold what you write, any screenshots you add, the page you were on (without search words), and your browser type. They're read by the people who run the service and by your organization's admins.
- No organization can see another organization's data.
AI services
When you format a note with AI, the note's text and the report sections are sent to the AI service your organization chose (OpenAI, Anthropic, Google Gemini or a compatible service), using your organization's or your own API key. That service's own terms apply. Org admins decide which services are allowed, and the Basic option formats notes without sending them anywhere.
API keys are stored encrypted and are never shown again after you save them.
Cookies
The app uses only the cookies it needs to keep you signed in and protect forms. There are no advertising or tracking cookies.
Deleting data
- Org admins can delete notes and photos, and download each week's photos before freeing storage.
- Deleting an account (by your org admin, or by us if you ask through Help) removes your name, username, password, settings, phones and support tickets. Notes you wrote are your employer's job records, so they stay with the organization, credited to "Former member".
- Deleting an organization (ask through Help) removes everything in it: notes, reports, messages, photos and their files, customers, accounts, AI keys and tickets. It can't be undone, so download what you need first.
